By using the activity Attendance, you as a student receive a structured overview of your personal participation behavior in online and/or face-to-face courses. For this purpose, the instructors record the attendance and absences of the students for each created session by entering them into a digital list.

Provided that the instructors have enabled the option of student recording, students can also enter their attendances for the designated sessions on their own.

Depending on the configuration, instructors can have automatic warning messages sent if absences are too frequent.

1. Register in the "Attendance" activity

When you open the activity Attendance you get access to three tabs that give you an overview of all sessions or course units for which digital attendance lists are kept and to which you are assigned as a student:



2. Attendance overview

By clicking on the tab "This course" you will get to your personal attendance overview, which contains all sessions created in the current learning space that has been set to visible by the instructors. The display takes place in the selected period: all sessions, all past sessions, sessions by month, by the week, or by day.

The overview contains the attendance status, a score, and an optional comment for each session. Attendances that have not yet been recorded are marked with a question mark ("?"). Unless configured otherwise by instructors, your attendance status is set and scored based on four predefined attendance categories. These are by default:

  • P – Present (2 points)
  • L – Late (1 point)
  • E – Excused (1 point)
  • A – Absent (0 points)
 

Note

The points assigned to the attendance categories are the calculation basis for determining the percentage of taken sessions. If the lecturers wish to grade the attendance behavior of the students on the basis of a grading type (points or scale), these points also serve as the basis for a later grading, which appears in the grader report of the course room upon completion of all sessions and is listed in the report as a separate column. Whether such a final grade is made for the attendance behavior is decided exclusively by the lecturer.


3. Record attendances

You can only enter your attendances for sessions by yourself if...

  • you access the session overview during the specified time slot (date and time) in which the session takes place and
  • the lecturer allows the students to record the attendance themselves.

If self-recording is possible for a session that is currently taking place, the "Submit attendance" link appears next to the corresponding session. By clicking on it, a window opens and you can select the correct attendance status by marking the corresponding radio button and confirming your selection with "Save changes".

After you have saved the self-recording of your attendance by selecting the attendance category (e.g. "Present"), the attendance status you have just set for the session appears in the overview. For better traceability, your self-recording is marked with the note "Self-recorded" by default.

     

    Note

    It is no longer possible to subsequently change an attendance status you have set once it has been saved. Likewise, it is not possible to record your presence or absence before or after the session, for example, because you did not have the opportunity to do so during the session. In this case, this must be entered manually by the instructors, or, depending on the configuration settings, you will automatically be assigned a certain status.

    In addition, you cannot see before the start time of the session whether self-recording will be possible. This is only visible during the session. If certain status values should no longer be selectable at the time of self-recording (e.g. "Present"), the availability of these presence categories has been limited in time. In this case, you must select one of the status values that are still available.

    Depending on the configuration you have made, it is sometimes only possible to make one entry per digital terminal. This prevents a student from logging in from one device after another with the access data of other absent students and entering this as a present.


    4. Access restrictions for attendance recording

    Lecturers have several options to restrict access to attendance recording, making it more difficult for students who are not present to make false entries. Lecturers can...

    1. ...set a password that you must enter before recording their attendance. The password must be given to you by the teachers before or during the session.
       
    2.  ...have a QR code generated, which will be made available to you in a suitable way (e.g. at the beginning of the session via screen or printout). You can then scan the QR code from your mobile device using a QR scanner app and are automatically forwarded to the correct session. To make it more difficult to forward the QR code to students who are absent, a new QR code may be generated after short time intervals. A combination of QR code and password is also possible, so any additional password entry may be required.
       
    3. ...limit the availability of presence detection to certain end devices by IP blocking (e.g. all PCs in a computer room). If access is attempted from other digital end devices, you will receive a corresponding message.
       
    4. ...set that only one entry per digital device is possible. This is to prevent a student from logging in from one device after the other with the access data of other students who are not present and registering this as a present.
     

    5. Attendance statistics and alerts

    Below the session overview in the tab "This course" you will see some statistical key figures about your attendance behavior depending on the selected period. The "Percentage over taken sessions" represents your average attendance so far and is calculated based on the "Points over taken sessions". Depending on the configuration setting, you may receive automatic notifications by e-mail if your attendance falls below a predefined average attendance (e.g. 50.0%), indicating your repeated absences.
     

    6. Attendances across all course rooms

    The other tabs "All courses" and "All sessions" give you the possibility to view your attendances across all course rooms. Via the "All courses" tab, you can call up all other "Attendance" activities in which your attendance is managed. In the "All sessions" tab, you can display descriptive key figures on your attendance behavior for selected time periods if required (e.g. average attendances across all course rooms within a month).
