This page describes which email clients we support and which settings you generally need to configure when integrating them.

If you do not have or do not want to use an email client, you can simply access the RWTH MailApp via your browser.
For information on how to log in to the RWTH MailApp, please refer to the RWTH MailApp Login.


 

Supported email clients

The email clients documented here are compatible with RWTH email accounts.
For detailed instructions on how to integrate them into the individual email clients, please follow the link for the respective client or use the navigation bar on the left side of the screen.

  • Microsoft Outlook
    • For information security and data protection reasons, the following apps may not be used in the RWTH context:
      • the free Outlook apps for Windows 10 and 11
      • the Outlook apps on mobile devices (Android and iOS/macOS)
    • The following operating systems are no longer supported:
      • Windows 7
      • Windows 8.1
      • Windows Server 2012
      • Windows Server 2012R2
  • Mozilla Thunderbird
  • Windows Mail app
    • Support for the Windows Mail app will be discontinued at the end of 2024. The application is no longer usable on newer versions of Windows.
    • The application may still work on older versions of Windows. We cannot guarantee that it will continue to work without problems. 
  • Android Mail app
  • Apple Mail app
  • Evolution (Linux)
 

General configuration

The information provided here is generally used for integrating an RWTH email address into an email client.
For detailed instructions on supported email clients, please use the links under Supported email clients or the navigation bar on the left side of the screen.

Please note the distinction between email address/sender address (vorname.nachname@rwth-aachen.de) and user name (ab123456@rwth-aachen.de).

The integration of functional mailboxes for which you have full access/send as permissions differs from the general configuration. If you need to enter other data, this is noted in the table below.

For personal mailboxes: “firstname.lastname@rwth-aachen.de” (standardized in this format, possibly with multiple first/last names or a number appended for people with the same name)
For official mailboxes: “lastname@organizationalabbreviation.rwth-aachen.de” (standardized in this format, the spelling can be determined by the organizations themselves and may therefore vary)
For functional mailboxes: “postboxname@rwth-aachen.de” or “postboxname@organizationalabbreviation.rwth-aachen.de

User name

The name of the RWTH email account in IdM Selfservice:

For personal mailboxes: “username@rwth-aachen.de” (standardized in the format “ab123456@rwth-aachen.de”)
For work mailboxes: “username@organizationalabbreviation.rwth-aachen.de” (standardized in the format “ab123456@organizationalabbreviation.rwth-aachen.de”)
For functional mailboxes: “fkt_postboxname@rwth-aachen.de” or “fkt_postboxname@organizationalabbreviation.rwth-aachen.de” (If the mailbox is integrated directly by the owner)
username@rwth-aachen.de/fkt_postboxname@rwth-aachen.de" or ”username@organizationalabbreviation.rwth-aachen.de/fkt_postboxname@organizationalabbreviation.rwth-aachen.de"

POP3-Servermail.rwth-aachen.de (SSL Port 995); Note: The POP3 protocol can be used, but is not recommended, as emails are downloaded to the respective client and deleted from the server.
