Microsoft Teams may continue to be used for collaboration with external partners. This solution is limited until the end of the current Microsoft federal contract (April 30, 2025).

Until now, the license for Microsoft Teams was activated for all employees on a flat-rate basis. The receipt of the Microsoft Teams license will be switched to an opt-in procedure based on the new framework conditions on 10 July, 2024 23:59h. Specifically, this means that all employees must activate a checkbox in self-service to confirm the need to collaborate with external partners.

Employees who have not activated the checkbox by then will lose their Microsoft Teams license on 11 July, 2024. The deletion deadlines in the event of loss of the Microsoft Teams license are indicated in the terms of use. You can find them here.

If the need arises later, the checkbox can be activated in self-service to obtain a license for Microsoft Teams. 

The procedure is as follows:

  1. log in to RWTH Aachen University Selfservice with your personal ID. (https://idm.rwth-aachen.de/selfservice/)
  2. go to the tab “Account and passwords” and select the sub-item “Account overview”.
  3. select the pen for editing to the right of the sub-item “RWTH Single Sign-On”.


     
  4. scroll to the bottom of the page. Now you can activate the checkbox. Then save the information.
    It is important to note that it takes 24 hours after ticking the box before Teams can be used.

  5. You will then be taken back to the account overview. This message will be displayed:


If you see the following view and need Microsoft Teams to collaborate with external parties, please follow steps 1-4.
