Active Accounts

Users with an active employee status can log in to the system at any time with their user name (form ab123456) and immediately receive an active account.

The account is considered active until one of the following cases occurs:

  • Unused accounts (longer than 3 weeks - without projects):

Accounts with no login withing the last 3 weeks and without projects or collaborations on third party projects will be deleted.
If the person still wants to use the service, they can log in again at any time, which will activate the  account again.

  • Inactive account (no login for more than 6 months - projects exist):

Accounts with no login within the last 6 months, but with their own projects or collaboration on third party projects, will be seen as inactive and the account owners will be notified by e-mail prior to a deletion of the account.
The first e-mail will be sent 6 weeks before the deletion, the second e-mail 4 weeks before the deletion and the last e-mail 3 weeks before the deletion.
By logging in, the inactive account will automatically become an active account and can be used again.
The deletions are then carried out manually within 1-2 weeks of the deletion being defined.

  • Invalid account:

It is checked once a week if the contact e-mail address of the Overleaf account exists in the Identity Management of the RWTH Aachen University.
If this is not the case, the Overleaf account will be deleted.

Please note: Deletion of the ShareLaTex account is always accompanied by deletion of the projects assigned to the account. Third party projects are not affected.
