Which products are affected?

This affects all Microsoft products that were previously available on the RWTH-Tenant (login with your @rwth-aachen.de address). This includes the Office products (Word, Excel, PowerPoint, etc.) and all files/documents, that you have saved in OneDrive.

 

 

Will my data be deleted? Do I have to back up my data?

Don't worry, your data will not be deleted. However, we recommend that you back up your data in the RWTH tenant locally, because Microsoft can adjust the scope of the products offered at any time.

 

 

How do these changes affect me? Can I continue using the products?

You can continue using the Microsoft products. However, beginning from 31 May 2021 at the latest, these will only be available to you on the RWTH tenant (log in with your @rwth-aachen.de address) as a web application - i.e. via the browser. This means that you can no longer use the products locally on your computer as an app.

 

 

Do I have to save my data locally on my computer before I can upload it to the new tenant?

If you have data on the RWTH tenant, you cannot access it via another tenant. In this case, you have to save your data locally on your computer and afterwards upload it to the other tenant.

 

 

What is a tenant?

A "tenant" is a so-called "area" through which Microsoft products are made available.

Can I continue to receive or send e-mails via my @rwth-aachen.de e-mail address?

The RWTH e-mail address itself is not affected by the licence changeover. You can continue to receive and send emails.

 

 

How do I save my data from the RWTH-Tenant locally?

To save your data from RWTH-Tenant locally, proceed as follows:

  1. Log in to www.office.com with your @rwth-email address.
  2. Click on the OneDrive icon in the menu on the left.

  1. A new page/tab will now open in your browser. Here you can now select the files you want to download by checking the appropriate box.

 

  1. After you have selected the files you want, click on the "Download" item in the menu bar above.

 

How can I download/backup/save my OneNote files locally?

 
  1. go to the office.com website in your browser and click on the "Login" button. 

In the login window, enter your @rwth-aachen.de email address to access the RWTH Tenant, or enter egal@students.rwth-aachen.de to login to the Student Tenant. 

  1. After logging in to the Tenant for Students, you will be redirected to the Single Sign-On you are familiar with, where you can log in normally with your user ID and password. 

  1. After logging in, you will be taken to the home view of your account. 4. 

  1. here please click on OneDrive in the menu on the left side. 

  1. you are now in the OneDrive in the area of your own files. 

  1. if you have your OneNote files here in a folder of their own, go into that folder and then follow the steps below. 

  1. Go to your OneNote file and click on the three dots to open the context menu and select "Rename". 8.  

  1. copy the name of the file in the pop-up by right-clicking on the name to open the menu and click on "Copy". 

  1. click on "Cancel" afterwards 

  1. go to the end of the address line of the browser 

  1. enter here first a slash (/), followed by the previously copied name of the OneNote file and another slash (/) 

  1. press the enter key so that the page is loaded. 

  1. now you will see OneNote files here 

  1. highlight the entire content and click on "Download".  

  1. this will open a pop-up where you must first click "Save File" and then click "OK" to download the files. 

Since you had selected multiple items, they will be downloaded packed as a ZIP file.  

The included files can be opened locally in OneNote 2016.

What changes do I have to expect as an employee?

The range of functions provided for employees of the RWTH Aachen University on the tenant for employees (login with any@m365.rwth-aachen.de) remains unchanged for the time being (MS Teams).The expansion of the scope of functions for employees is in progress.

 

 

Can I continue using Microsoft Teams?

As an employee of the RWTH Aachen University, you can continue using Microsoft Teams both as a web application - i.e. via the browser - and locally on your computer as an app. To do this, log in either in the browser via https://teams.microsoft.com/ or in the Microsoft Teams app with any@m365.rwth-aachen.de. You will then be redirected to the RWTH Single Sign-On and can log in as usual.

 

 

Can I continue using Microsoft products on my work computer?

The licences that are pre-installed by the institutes on workstations are not affected by this change. Please mind the "Microsoft Campus Teilhabe".

The desktop application programmes affected by the licence changeover can be installed on private computers. However, please note that these licences may only be used for work or in the context of studies.

 
 
 
Students


What changes do I have to aspect as a student?

From the beginning of May, students at the RWTH Aachen University have the opportunity to use Microsoft products locally as desktop applications on their PCs via the tenant for students (registration with any@students.rwth-aachen.de). Students have been able to create an account on this tenant since September 2020. On this tenant, you can already use Microsoft products online as a web application.

  1. Registration

Registration takes place by agreeing to the terms of use in the "RWTH Single Sign-On" account in your Selfservice.

  • Click on the "Edit" symbol next to the "RWTH Single Sign-On Account".
  • Check both boxes if you agree (at the bottom of the page; scroll if necessary).
  • You now have to wait 24 hours until you can log in
  1. Login

After the 24 hours you can log in with "<any>@students.rwth-aachen.de" via https://www.office.com/. You will then be redirected to the RWTH Single Sign-On and can log with your usual credentials (e.g.: RWTHonline).

For further instructions please mind Microsoft 365 for students.

You are redirected to the RWTH Single Sign-On and can log in as usual.

Can my licence be renewed?

Since you no longer have a status in our system// the status Employee UKA, your licence must be revoked for licensing reasons. This applies to everything that you have obtained/used via the RWTH-Tenant (registration with the @rwth-aachen.de address). has been obtained/used.

Unfortunately, we are not allowed to make any exceptions here. Only those with one or more of the following statuses count as (currently) eligible:

  • Student(s) RWTH
  • RWTH employee (via Department 8 + RWTH scholarship holder)
  • Member(s) of FB10

For this reason, we strongly recommend that you back up your documents and data locally outside the cloud until 20.04.2021.
