Carry out exam with the activity “Assignment”
As part of a take-home exam, you can provide the students with the exam assignments via an activity “Assignment” and also use this activity to collect the solutions at the end of the exam. The submissions can then be downloaded as a ZIP folder in order to correct and evaluate them offline.
You can later announce the preliminary exam results before post-exam review in the "Evaluations" area. You can reuse the existing assignment to carry out the digital post-exam review.
Like managers, persons with the role of tutor have access to exam room content that is hidden from students. Therefore, if necessary, remove all persons with the role of tutor from the exam room in order to prevent a possible leak of the exam assignments.
Please note that we can currently support scenarios with up to 750 students. Scenarios with larger numbers increase the risk of load peaks. Therefore, these scenarios cannot be supported at the moment. In this case, it is better to perform the exam in staggered cohorts of up to 750 students. In this guide, we also provide you with numerous tips to reduce potential problems caused by load peaks as much as possible.
We recommend providing the assignment files as an encrypted PDF or encrypted ZIP file one day before the exam date. Encrypted PDF files can easily be created, for example, from Word or Libre Office or with Adobe Acrobat DC. You can generate the password, for example, on the lastpass.com website. It should consist of at least 10 characters and numbers, upper and lower case letters and special characters in order to be adequately protected against attacks.
You will then present the password to the exam participants during the Zoom video conference. This way, you take the load off temp-Moodle and prevent potential problems when starting the exam due to a large number of parallel accesses.
Instead of the activity Assignment in temp-Moodle, you can also send the exam assignments to the exam participants in advance via Outlook by e-mail. The e-mail then contains the encrypted assignment document as an attachment. The assignment activity in temp-Moodle is then only used to collect the submissions.
Please note that the students may have to scan the examination documents for submission and bring them into the desired file format. You should therefore allow the students a reasonable period of time of at least 30 minutes to submit the examination documents.
Only PDF formats should be accepted here. Classic photos are not recommended due to the resulting file size. PDFs can be created very easily in a short time using standard scanning software on smartphones (e.g. Notes on iOS and Google Drive on Android). How-to instructions and explanatory videos, which you should also make available to students, can be found in the CLS instructions on how to take exams for students.
In the event of technical issues with temp-Moodle, students can also collect their exam via Gigamove or email to an RWTH address. However, both services are only suitable as fallback solutions (see notes in 2.1 General).
Please instruct students before of the exam to document technical problems as precisely as possible with screenshots, videos, or the like. Please explicitly point out to the students the supervisor contact persons who should be contacted in case of problems during the exam.
The Chairs that conduct the exam have to archive the submissions is the assignments! temp-Moodle cannot serve as an archiving system, among other things because the learning rooms are completely deleted as part of their LifeCycle after six months.

- Open the exam room in which you want to provide the consent form.
- Switch the course page to edit mode using the "Turn editing on" button at the top right.
- In the appropriate section, click on "Add an activity or resource".
- Click “Assignment“ in the activity selection. You will be automatically redirected to the settings page to configure the assignment.
- Give the assignment an appropriate name
- Under "Description", explain the purpose of the assignment and what the students should do. Please also include all the necessary information about the submission and which alternative submission options exist in the event of a malfunction (Gigamove, email). Also refer to contact options in the event of problems.
When using Zoom video surveillance, the examiners can make use of the option to generate an exam protocol in Zoom, logging the entries and exits of participants in the meeting. You should have already informed the students if this log is to be used. This can be done when asking the students for their preferred exam format using the Feedback activity. If this has not yet been done, point out in the description of the assignment that the protocol will be used. The students do not have to agree to the use, but they have to be informed about the use.
- Under "Additional files", upload all files that are required for the exam, such as assignments or files to be used.
Encrypt the files to be able to make the activity with the exam files available max. one day before the exam. You then present the password in the Zoom conference that accompanies the exam. By encrypting, you take load off the system. However, when making encrypted Word files available, be aware that students may only have a web version of Word available through Office 365. This will not allow encrypted files to be opened. They would need the desktop version of Word or other software like Libre Office.
Submissions by Gigamove or email to an RWTH address are only permitted as fallback solutions in an emergency. These IT services cannot act as primary solutions for submitting student exams.
Before the exam, please make sure that the relevant mailbox has sufficient free space when referring to the option E-Mail submission. If in doubt, contact your institution's IT administration, who can help you with this. Please note, that they can only adjust the mailboxes with sufficient advance notice. If necessary, they can also set up a functional address. Please also note that the maximum size for attachments is 20 MB when submitting by e-mail.
- Specify here the period within which the students can upload and submit their exam documents. Set “Due date” and “Cut-off date” to the same date.
The due date is automatically displayed to students in the assignment and in the calendar. However, students can still submit assignments after this date. Such submissions are marked as late submissions in the submission list.
When the Cut-off date has been reached, no more submissions are possible. However, this date is not displayed to the students. If there are problems with the submission during the exam, the submission deadline can be postponed at short notice and this can be communicated via the parallel zoom video conference. If necessary you can also extend the deadline for single students.
- Keep the option "Always show description".
This means that the description and the additional files of the assignments are visible even before the submission begins. This is deliberate in our scenario, as the students should receive the assignment files BEFORE the exam. Securing the assignment files with a password ensures that the assignment can still only be viewed if the password is presented at the beginning of the exam in the Zoom video conference.
Nevertheless, make sure to first set the visibility of the entire assignment to "hide" below under "Common module settings". Make the assignment visible only about a day before the exam so that the students can already download the assignment.
- Select the option “File submissions” under “Submission types”.
- Set the "Maximum number of uploaded files" to the appropriate number.
- Set the "Maximum submission size" to a suitable size.
- Under "Accepted file types", specify, if necessary, which file format you allow for submission. With the specification “.pdf”, for example, you only allow PDF files. If you want to restrict the submission to other file formats, specify them accordingly. You can choose from numerous predefined formats using the "Choose" button. Make sure to click "Save changes" at the bottom of the selection window so that the selection is accepted. If you leave the field empty, the students can submit any file format.
In the example below (see screenshot below) we have limited the file types to "archive.pdf" using the selection button and the number of files to one file of a size of max. 20 MB. This means that students can either submit a PDF file of up to 20 MB or combine several files into an archive file such as .zip and submit it. This archive file can then also have a maximum size of 20 MB.
Please note that the higher the number of files and the permitted file size, the more likely it is to cause load problems during submission. The indicated file size refers to the size per file. For example, if you allow 3 files of 20 MB each to be uploaded, the entire submission can be up to 60 MB in size.
If, due to technical issues, you have to switch to submission by email, the RWTH Exchange has a maximum size limit of 20 MB for file attachments. We therefore recommend not allowing more than 20 MB in temp-Moodle.
You can skip these settings as the students will not receive any feedback in this case.
If you want to use the assignment later to carry out a digital post-exam review,you can make the necessary settings later.
Please correct the exam results offline. You can download the student submissions as a ZIP archive file (see 5. Download submissions). You can upload the correction files created offline as a ZIP file for post-exam review. The corrections are automatically assigned to the appropriate students via IDs.
An online correction via the evaluation view of the grading in temp-Moodle cannot be archived!
- In the "Submission settings", set the option "Require students to click the submit button" to "no". Students can then create and save a submission which has the status "Submitted for grading". However, the submission can still be edited and changed until the cut-off date is reached.
- Set the option "Require that students accept the submission statement" to "yes". The students then have to confirm a prepared declaration that they have completed the examination independently and without unauthorized aid before saving the submission: "I hereby declare in lieu of an oath that I have completed the assessment independently and without illegitimate assistance from third parties. I did use no other than the specified sources and aids. I have read and understood the Official Notification."
- Leave the setting for "Attempts reopened" at "never".
The student view when creating a submission looks like this with the settings made above:
You can skip these settings.
Set “Grade” to “None”. The correction and grading of the submitted exam documents takes place offline, not in temp-Moodle (see note under 2.4. Feedback types). Regardless of this, you can later announce the preliminary exam results via the Gradebook in temp-Moodle.
- Set the "Availability" option to "Hide from students“. This means that the activity is not displayed to the students after saving. You can then make the assignment visible from the course page at any time.
Make sure you set the availability to "hidden"! Due to the setting "Always show description" (see above under 2.2 Availability), the description and the additional file(s) of the assignments are otherwise immediately visible after saving the assignment!
- All other settings in this category can remain in the standard setting.
We assume that the manual hiding in the Common module settings ensures that the students initially have no access to the assignment after saving. It is therefore not necessary to set restrictions for the assignment in this constellation, as access is already adequately regulated. However, please note the information under on the procedure for several exam groups / cohorts that are to receive exam variants.
These settings are irrelevant.
Save the newly created assignment with "Save and return to course" to return to the course page. The new assignment is displayed in the selected course section.
To make sure that the selected settings have led to the desired result, you can look at the exam room and the assignment from the role of the student.
- To do so, click on your display name in the top right corner.
- Select the option "Switch role to..." in the menu that opens.
- Then select the role “Student”.
- You will then see the exam room from the perspective of the students. To return to your view as a manager, click in the blue box at the top of the page on "Return to my normal role".
If you have followed the recommendations and have manually hidden the assignment for the students in the additional settings, you must make it visible to the students in good time for the exam date so that they can access the assignment documents.
- Call up the exam room.
- Switch the course page to edit mode using the "Turn editing on" button at the top right.
- Click on "Edit settings" next to the assignment
- Select "Show" in the context menu to make the assignment visible.
As soon as the deadline for submitting the exam documents has passed, you can download the submissions of the exam participants as a ZIP file so that you can correct them offline. Please do NOT correct the submissions online in temp-Moodle (see note on 2.4. Feedback types)!
- In the exam room, click on the title of the assignment to open it.
- This will take you to the "Grading summary". Click here on "View all submissions".
- You will then get to the submission overview. Here you can see all members of the group "Exam participants", their submissions including the submission status and the files submitted.
- At the bottom of the submission list, in the “Options” section, select “Download submissions in folders”.
- Now click in the drop-down menu "Grading action" above the submission list and select "Download all submissions". The download of the submissions as a ZIP file starts automatically.
Due to the settings made in step 3, the ZIP file with the submissions contains a folder for each student with the name of the person and a submission ID that contains the documents of the respective person.
Use the ZIP archive file to archive the exam results. This is the responsibility of the Chairs that conduct the exam.
If you want to use variants of the exam to make cheating more difficult or to check several exam cohorts, you can work with several exam assignments. These are then released for different groups of exam participants via the requirements settings.
- To create the different groups of exam participants, read the instructions "".
- Then create the required number of assignment activities.
- Then add a separate requirement of the "Group" type for each assignment. To do so, click on "Add restriction..." in the "Restrict access" section of the assignment settings.
- Then select a requirement of the "Group" type.
- Select the appropriate group.
- Then click on the eye symbol in front of the requirement. The eye closes .
This way, the assignment and its restriction are only displayed to those students who meet the restriction. If the eye remains open, the students see all assignments including the restrictions, but can only open the assignment that has been released for their group.
The manager view shows that the examination assignments can be named identically. They can be distinguished from each other via the access restrictions for the individual cohorts that are invisible for the students:
The student view shows that the students only see the title of their examination assignment, but not the access restriction. As a result, they do not know which of the variants they have received:
